AEM Assets as a Cloud Service

    Context

The customer aimed to migrate over 10 TB of data from their legacy systems to AEM Assets as a Cloud Service (CS) to enhance scalability, streamline deployments, and unify data across teams. They sought to implement AEM Assets as a centralized platform for improved efficiency and seamless integration. Additionally, they wanted to deploy Workfront for their creative team and integrate it with AEM Assets to boost collaboration and ensure unified access to information. A key objective was also to enable smooth data exchange and integration between AEM Assets and their website, which is built on Salesforce Commerce.

    Business Challenges

    Outdated Legacy Systems

Their current system lacked the agility and modern capabilities required for increasing business demands.

    Limited Scalability

As the volume of data and the number of users grew, their system couldn’t scale, leading to slower performance and reduced operational efficiency.

    Inefficient Team Collaboration

Their creative and process teams worked in silos due to disconnected tools, making it difficult to collaborate on campaigns & share updates in real time.

    Poor Data Accessibility

Their data was stored across multiple platforms, making it challenging for users to locate, access, and manage assets quickly.

Lack of Integration with Creative Tools

The absence of integration between asset management systems and creative tools like Workfront hindered productivity and delayed creative output.

    Deployment Delays

Without unified workflows, deploying content or assets across teams and platforms was time-consuming and error-prone.

    Disconnected Web and Asset Systems

There was no seamless connection between AEM Assets and the customer’s website, leading to subpar content delivery and digital asset use.

    Solutions

    1. After thoroughly analyzing the customer’s requirements, we set up and provisioned AEM Assets by configuring the necessary infrastructure and resources to host and manage assets in the cloud.
    2. We migrated more than 10 TB of data from their existing legacy systems to AEM Assets as a Cloud Service. We achieved this by extracting data from the legacy system, transforming it into a format compatible with AEM Assets, and loading it on the cloud.
    3. Then, we implemented Workfront for their creative team to streamline and manage their projects, tasks, and workflows effectively.
    4. We integrated the Workfront with AEM Assets, enabling smooth communication and data exchange.
    5. We also integrated AEM Assets with the customer’s Brand Portal interface to centralize management and ensure the availability of assets for marketing and other teams.
    6. We ensured the asset placement was in the right AEM folders by guiding their movement with custom workflows and metadata schemas. Additionally, we implemented the Sensei tag management solution to enhance the categorization of new assets in AEM.
    7. Lastly, we developed endpoint APIs in AEM for their Salesforce Commerce website. We used Talend jobs to facilitate the data transfer between AEM and Salesforce Commerce.

    Business Outcome

With the migration of over 10 TB of data to AEM Assets and the successful integration of Workfront and Brand Portal, the customer established a connected & unified digital ecosystem. Their teams across creative and operational functions could now collaborate seamlessly, access data securely, and streamline key workflows. This transformation resulted in a 2X increase in operational efficiency, enhanced cross-team alignment, and faster execution of campaigns.
